The Stallé Realty Group – Contract & Transaction Coordinator

The Stallé Realty Group is hiring! Our ideal candidate will function as a liaison to our Sales Team through communication with our clients, other real estate agents, mortgage brokers, title companies, service providers and contractors throughout the transaction process. Our candidate will work with the sales team members on various administrative tasks to achieve compliance with deadlines and terms outlined in Wisconsin Real Estate offer to purchase contract and related documents to include, but not limited to, the following:

  • Create Dates & Deadlines memorandum and send to all parties of the transaction
  • Contract review to confirm all documents are compliant and accurate
  • Documentation collection throughout transaction
  • Team calendar marked with Deadlines and agents are invited
  • Update spreadsheets for team production tracking
  • Contract and document management
  • Communication with all parties to the contract (lender, title, co-broke agents, etc…)
  • Tracking earnest money and sending receipt to Co-brokes, Client, Lender and title
  • Title ordered on behalf of seller
  • Continuous and weekly communication with Client throughout transaction
  • Assistance with Inspection negotiation including scheduling contractors and occasional contractor visits when needed
  • Manage team calendar with dates and deadlines
  • Collect lien waivers and paid invoices for inspection repairs by the due date to closing and deliver to Client, Co-broke, Title Companies and Lenders
  • Title commitment review and delivery to client
  • Ensuring appraisal has been ordered with lender
  • Appraisal appointments and CMA prep and occasional appraisal visits
  • Well Inspection and Water Test coordination
  • Home Warranty management
  • Loan Commitment status check-in and delivery to Clients & Co-Brokes
  • Scheduling pre-sign with Client and Title
  • Scheduling final walkthrough with Client and Co-Broke
  • Scheduling closing with Clients, Co-brokes, Lender and Title Companies
  • Reviewing all closing statements and delivering to Clients, Co-brokes and Lenders
  • Week of Closing Client Communication including more extensive reminders and expectations of closing process
  • Attending occasional closing
  • Processing commission check and executed closing statement
  • Client feedback management
  • Database management and updating
  • Communication with marketing and listing coordinator

Throughout Transaction: scheduled weekly client phone call check-ins (outside of typical transactional communication), problem-solving with agents & clients when and where necessary, drafting contracts and amendments when needed, various document collection and delivery, various client visits.

Requirements:

  • Wisconsin Real Estate License preferred
  • Valid Drivers License and Vehicle
  • Experience in Office setting preferred
  • Strong Organizational and Communication Skills
  • Proficient in Microsoft Office Suite and Google G Suite
  • May require travel throughout Metro Milwaukee area

Salary Info: This is a base salary plus bonus structure based on the number of transactions the team closes annually.

$50,000 – $60,000 is the estimated range (salary subject to change based on candidates experience)
